Travel

AIR TRAVEL: Your airplane ticket will be booked and a confirmation itinerary emailed to your store based on the information provided on your Website Registration page. Flights departing and arriving out of your first choice airport cannot be guaranteed as they are booked based on price and the Tractor Supply Company (TSC) Travel Policy. SOUTHWEST AIRLINES is a preferred travel partner of TSC - you will be booked on Southwest if the airline serves your region.

Please Note: It is your responsibility to review your itinerary upon receipt and to immediately notify Rachel Murray at rmurray@tractorsupply.com if there are any changes or corrections to be made. DO NOT WAIT UNTIL YOU ARE HEADING TO THE AIRPORT TO REVIEW YOUR ITINERARY AS IT WILL BE TOO LATE TO MAKE ADJUSTMENTS.

If you have access to a printer please print out your itinerary and boarding pass in advance to take with you to save time at airport check in. It’s very important that you read the airline security information and baggage fee information before heading to the airport.

Please keep track of your mileage, baggage fees and parking costs and submit an expense report promptly. Airport parking is expensive, so car pool as much as possible or park in an off-site lot that services the airport area. If you do car pool, please know that when registering you will need to provide the names of all your car pool participants - please coordinate this information in advance of completing your registration.

DRIVING TRAVEL - JW Marriott Guests: Please drive to the main entrance of the JW MArriott to drop off your luggage and proceed to the Music City Center Garage across the street from the hotel. The parking garage is on the lower level and may be accessed from both 6th Avenue South and Demonbreun and 7th Avenue South. Parking validation tickets may be picked up no later than Tuesday at the Tractor Supply Company (TSC) registration desk at the MCC. See Driving Directions tab for additional location details.

DO NOT valet park. Valet parking charges will not be reimbursed.

DRIVING TRAVEL - Omni Guests: Please drive to the main entrance of the Omni to drop off your luggage and proceed to the Music City Center Garage across from the hotel. The parking garage is on the lower level and may be accessed from both 6th Avenue South and Demonbreun and 7th Avenue South. DRIVING TRAVEL - Renaissance Guests: Please drive to the Nashville Public Library Parking Garage located directly across Commerce Street from the hotel with the entrance on 7th Avenue between Commerce and Church Streets.  Self-park before proceeding with your luggage to check in at the Renaissance Hotel. When you arrive at the garage you will take a ticket from the machine and leave the ticket in your car.  Parking validation stickers may be picked up no later than Tuesday at the Tractor Supply Company (TSC) registration desk at the MCC. When you go to leave the garage on Wednesday, attach the sticker to the ticket and insert the ticket back into the machine.  You will not be required to pay.  See Driving Directions tab for additional location details.

On-Site Registration

On-Site Registration for the 2020 Annual Sales Meeting will be at the Music City Center (MCC) located at 222 Fifth Avenue South, Nashville, TN. The registration desk will be located on Level 3 in the Pre-function Area of the Exhibit Halls. You must register prior to attending the Sunday district team building activity in the Omni Ballroom followed by dinner and entertainment at the Wildhorse Saloon or at one of the Regional Night Receptions and Dinners at the Music City Center.  Note there will be two groups, assigned by region, on Sunday and Monday night this year.  See printed agenda for details. Sunday Hours: 9:00 AM – 5:00 PM

Name Badges

Your name badge must be worn at all times and is your ticket for all meals, events, general sessions, and the trade show.

Dress

  • Casual/jeans for Sunday's district team building activity
  • Casual/jeans for the Wildhorse Saloon dinner and entertainment on either Sunday or Monday night (groups assigned by region - see agenda).
  • Business casual for daytime events.
  • Sport coat (no tie required) for men and dress or pantsuit for women Regional Dinners on either Sunday or Monday night (groups assigned by region - see agenda)
  • Suit or sport coat and tie for men, and suit, dress, or pantsuit for women for Company Awards dinners.
  • Casual/jeans for Wednesday's General Session followed by travel home.

Sunday - Early Arrivals' Lunch

Lunch will be served from 11:30 AM – 2:00 PM in the Davidson Ballroom of the MCC for attendees arriving before 2:00 PM on Sunday.

Sunday Activities

  • Sunday begins with a district team building activity for all Team Members attending the meeting in the Omni Broadway Ballroom of the Omni Hotel - this is on a continual flow from 10:00 AM - 5:00 PM.
  • Group 1 (Regions 1, 6, 8, 9, 10, 11) may change into blue jeans, if desired, and walk to the Wildhorse Saloon, located at 120 Second Avenue North between Broadway and Commerce Streets for dinner, a welcome message and entertainment.
  • Group 2 (Regions 2, 3, 4, 5, 7) will change pursuant to the dress code and proceed to their Regional Night Receptions and Dinners at the Music City Center (more details below).  You will receive a table assignment in your packet where you are required to sit. Please do not change tables or sit at an unassigned seat as you will displace another store manager or SSC team member.
  • Two drink tickets per person at both venues will be provided for domestic beer and house wine.  Soda and bottled water will be available complimentary.

Monday Evening Activities

  • Following the day's scheduled meetings, classes and tradeshow (see printed agenda for details), Group 2 (Regions 2, 3, 4, 5, 7) may change into blue jeans, if desired, and walk to the Wildhorse Saloon, located at 120 Second Avenue North between Broadway and Commerce Streets for dinner, a welcome message and entertainment.

Tuesday Evening Activities

COMPANY AWARDS NIGHT:
  • Following the day's scheduled meetings, classes and tradeshow (see printed agenda for details), Company Awards will be given on Tuesday evening in the Ballroom of the MCC.
  • You will receive a table assignment in your packet where you are required to sit. Please do not change tables or sit at an unassigned seat as you will displace another store manager or SSC team member.
  • Two drink tickets per person will be provided for domestic beer and house wine.  Soda and bottled water will be available complimentary.

Arrivals / Departures

TRANSPORTATION FROM THE AIRPORT: TSC will provide transportation from the airport to the hotel. When you arrive in Nashville, proceed to the baggage claim area of your airline and look for the greeters holding the TSC signs. Please find and claim your own luggage from the luggage carousel. The greeters will direct you to your bus. Buses are scheduled to arrive at specific intervals during the day. If you arrive between runs, please wait patiently.

LUGGAGE HANDLING AT THE HOTELS: TSC has prepaid a gratuity for arrivals luggage handling only. You are not expected to tip an additional amount, but should the situation arise, just inform the bellman that you are with TSC. Personal services (such as room service, etc.) do not apply.

LUGGAGE STORAGE - ARRIVALS: Luggage storage will be available at JW Marriott, Westin, Renaissance and Omni Hotels if your room is not ready for check-in upon arrival – room location to be advised at a later date.  NOTE:  The Fitness Centers at each hotel will be available to change clothes for the evening events if your room is not available at 4:00 PM for check-in.

LUGGAGE STORAGE - DEPARTURES: **NEW IN 2020**.  All team members flying out of Nashville International Airport will depart from the Music City Center 6th Avenue Entrance immediately following Wednesday's General Session at 10:15 AM.  Please bring your luggage to the Music City Center Level 2 Demonbreun Pre-function area where we have arranged for luggage storage and drop off before the 7:30 AM Regional Meetings begin.  The hotels will NOT store luggage for TSC Team Members.  Should you nonetheless choose to leave luggage with the belldesk, you will be required to personally pay any associated storage fees when you retrieve your luggage.  This is a non-reimbursable expense.  NOTE:  Team Members with the earliest departing flights will receive a color coded bus ticket at the meeting registration.  This ticket will provide access to buses leaving directly from the Music City Center 6th Avenue Tunnel following the General Session on Wednesday.  If you have an early departure flight, be sure to get on one of the first buses in line to depart.

RENAISSANCE SHUTTLE: A shuttle will be available at the Renaissance Nashville Hotel to transport you to the Music City Center for registration on Sunday. Daily shuttle service will also be available each morning after breakfast and each evening for your convenience.  Please leave plenty of extra time when utilizing the shuttle as crosstown traffic in Nashville is ofterntimes very heavy. Note: the Renaissance is located two crosstown blocks from the Music City Center should you opt instead to walk.

HOTEL CHECK-IN: You are required to present either cash, a credit card or debit card as a deposit for any personal expenses charged to your hotel room. The hotel will hold up to $200 from your account during your stay. The held amount will be credited back by the hotel upon your departure, pending your bank’s funds available policy. Please remember that personal expenses are not reimbursed by TSC and should not be included on your expense report. We will supply breakfast, lunch and dinner throughout the meeting. No outside meals or snacks will be reimbursed. Movies, alcohol and laundry are not reimbursed by the company in accordance with the TSC travel policy.

The hotels are all non-smoking facilities. Smoking is permitted outside of the buildings only. If you smoke in your room, you will be expected to pay the penalty charged by the hotel.

HOTEL CHECK OUT:

Express in-room check out will be available at each hotel and will save you from waiting in lines at the hotel front desks.

PLEASE NOTE: You will be expected to cover any personal expenses, such as room service meals, movies, laundry, etc. upon check out.

Drivers:  If you are driving, you have the option of checking out after breakfast and stowing your luggage in your car, or following the general session at 10:15 AM.  All hotel checkouts must be completed by 11:00 AM. Plan for lines to check out at the hotel desk

Fliers: If you are flying, you must check out prior to leaviing your hotel in the morning and bring your luggage with you to the Music City Center.  Luggage storage will be available at the MCC, Level 2, Demonbreun Pre-Function Area.  No luggage is allowed in any of the classrooms or General Session.  All airport buses will depart from the 6th Avenue tunnel af the MCC, adjacent to the luggage storage area and UPS Kiosk.  Travelers with early flight departures should get themselves promptly to the departure location to board one of the first buses in line.  Buses will loop from this departure point to the airport and back until all fliers have departed downtown (approximately two hours).  Fliers with later flights are expected to wait at the airport.

Expenses

If you incur any expenses related to the Sales Meeting, please submit them on Concur by March 8. When using Concur you should change the “expense type” to “Annual Sales Meeting” and “bill to” to 800. All expense types, no matter what they are, i.e., mileage, parking, hotel, etc. should be charged to the same expense type. As a reminder, all expenses over $10 require a receipt. Make sure you add any additional explanations in the “remarks.”
